Booking & Cancellation Policy

This Booking & Cancellation Policy explains how reservations, payments, changes, and cancellations are handled for tours and travel services booked through The Portal Tours & Management Services (TPTAMS), Srinagar, Jammu & Kashmir.

If the terms shared in your quotation / invoice / confirmation voucher differ from what is written here, those specific written terms will apply first.

1. General Terms

“We / Us / TPTAMS” refers to The Portal Tours & Management Services.

“You / Traveller / Guest” refers to the person making the booking and all travellers covered under that booking.

By paying an advance or confirming a booking in writing, you agree to this policy.

2. Booking Process & Confirmation

Enquiry & Proposal

You share basic trip details (dates, destinations, number of travellers, budget).

We send you a suggested itinerary with an estimated cost.

Provisional Hold (if applicable)

On request, we may temporarily hold rooms or services for a short time, subject to hotel/supplier rules.

If the advance is not received within the mentioned time, the hold may automatically lapse.

Booking Confirmation

Your booking is treated as confirmed only after we receive the advance payment mentioned in your quotation/invoice and you receive a written confirmation / voucher from us.

3. Payment Terms

The exact advance and balance amounts will be mentioned in your quotation or invoice. As a general guideline:

Advance: Usually 30–50% of the total package cost at the time of confirmation.

Balance: Usually due 7–10 days before the start date of the trip.

Last-minute bookings (for travel within 7 days) may require 100% payment in advance.

Payments can be made through the modes shared by our team (bank transfer / UPI / other approved channels).

TPTAMS is not responsible for delays or issues caused by incomplete or delayed payments.

4. Standard Cancellation Policy

(for land packages: hotels, transfers, sightseeing etc.)

If you need to cancel your trip, you must inform us in writing (email / WhatsApp) using the same contact details used during booking.

Unless your confirmation voucher mentions different terms, the standard cancellation charges are:

30 days or more before trip start date
→ ₹1,500 per person or 10% of package cost (whichever is higher), plus any non-refundable charges from hotels, flights, or suppliers.

15 to 29 days before trip start date
→ 25% of total package cost + any non-refundable supplier charges.

7 to 14 days before trip start date
→ 50% of total package cost + any non-refundable supplier charges.

Less than 7 days before trip start date
→ 100% of total package cost (no refund), except any amount we are able to recover from hotels/suppliers at their discretion.

No-show or early checkout
→ 100% charges apply. No refund for unused nights, meals, or services.

Note: Many hotels in peak seasons (snow season, Tulip season, long weekends, holidays, and festivals) follow non-refundable or stricter policies. In such cases, their terms will override the standard policy above.

5. Changes, Amendments & Date Shifts

We understand plans can change.

Date change / rescheduling request is treated as “amendment request” and is always subject to availability and supplier approval.

If hotels, cabs, or services allow rescheduling without heavy penalties, we will pass that benefit to you.

If they treat it as a cancellation and new booking, their charges will apply, and any additional difference in pricing for new dates will be payable by you.

Multiple amendments may attract additional service charges.

6. Refunds

Approved refunds (after deducting applicable cancellation charges) will be processed to the same account / payment mode used for booking, unless otherwise agreed.

Please allow 7–14 working days for refunds to reflect, depending on banking channels and payment gateways.

Convenience fees, payment gateway charges, and any explicitly non-refundable components will not be refunded.

7. Flights, Trains & Other Tickets

If flights, trains, or other tickets are booked through TPTAMS, they are always governed by the individual airline / rail / operator policies.

Any date change, cancellation, or no-show charges will follow their rules, plus any service fee mentioned by TPTAMS at the time of booking.

Some fares (especially promotional, group, or special-sector fares) are completely non-refundable.

8. International Tours – Visas & Documentation

For international packages:

You are responsible for providing correct and valid documents (passport, photos, financials, etc.) required for visa processing.

Visa fees, VFS/service charges, and documentation fees are non-refundable once the application is submitted, regardless of approval or rejection.

If a visa is rejected or delayed, standard airline/hotel cancellation rules will still apply.

9. Force Majeure & Events Beyond Our Control

TPTAMS is not liable for any loss, damage, or additional expense arising from events beyond our reasonable control, including but not limited to:

Bad weather, landslides, roadblocks, political unrest, curfews

Natural disasters, epidemics, strikes, government restrictions

Sudden closure of routes, attractions, or hotels due to local orders

In such situations:

We will make reasonable efforts to adjust the itinerary or arrange alternatives where possible.

Any extra costs (additional nights, alternative transport, etc.) will be borne by the traveller.

Refunds are subject to what we can recover from hotels, airlines, and local suppliers.

10. Unused Services During the Trip

No refunds will be provided for partially used or unused services (e.g., hotels, meals, transfers, activities) if you choose to skip or alter them by personal choice or due to late arrival/early departure.

If any service is missed purely due to an error from our side or our local partners, we will either:

arrange a suitable alternative, or

offer a fair adjustment/refund for that specific service, as appropriate.

11. Cancellations or Changes by TPTAMS

On rare occasions, we may need to modify or cancel a booking due to operational or safety reasons.

Where possible, we will offer:

an alternative of similar or higher standard, or

a refund for the affected portion if no suitable alternative is available.

Our liability will not exceed the amount paid to us for the affected part of the trip.
